This Privacy Policy describes how UltraWeb Labs Inc. (“we,” “us,” or “our”) collects, uses, and shares information about you when you visit ultraweblabs.com (the “Site”), contact us through the Site, or otherwise interact with us. By using the Site, you agree to the collection and use of information as described in this Policy.

We collect information you provide directly to us, information collected automatically when you use the Site, and information from third-party sources.
Information you provide directly
- Contact form submissions — when you fill out a strategy-call form or contact form on the Site, we collect the information you provide (typically: name, email, phone number, business name, project description, and any message content).
- Strategy-call bookings — when you book a 30-minute strategy call, we collect the contact details and project context needed to prepare for and conduct the call.
- Phone calls and emails — if you call us or email us directly, we collect whatever information you share during that communication.
- Engagement records — once you become a client, we collect business information needed to deliver the services in your scope of work (e.g., access credentials to your existing site / analytics / GBP / ad accounts, brand assets, business goals).
Information collected automatically
- Usage and analytics data — we use Google Analytics 4 to understand how visitors use the Site. This includes pages viewed, referral sources, device type, general geographic location (city-level, not precise), and interaction patterns.
- Cookies and similar technologies — we use cookies to enable core site functionality, measure analytics, and improve user experience. See our Cookies Policy for details.
- Server logs — our hosting provider (Kinsta) maintains standard server logs including IP addresses, timestamps, and requested URLs.
Information from third parties
- Google Business Profile — if you find us through our Google Business Profile listing, Google may share certain data with us (such as click-throughs to our Site).
- LinkedIn — if you reach out via LinkedIn message, that conversation is governed by LinkedIn’s privacy practices in addition to ours.
3. How we use your information
We use the information we collect to:
- Respond to your inquiries and strategy-call requests
- Prepare for and deliver scheduled strategy calls
- Send proposals, scopes of work, and contracts for prospective engagements
- Deliver the services in any executed scope of work
- Send service-related communications (project updates, deliverable reviews, invoices)
- Send marketing communications, only with your consent and with an easy way to unsubscribe
- Operate, maintain, and improve the Site and our services
- Protect against fraud, abuse, and security threats
- Comply with legal obligations
We do not sell your personal information.
4. Who we share it with
We share your information only with the following categories of parties, and only as needed for legitimate business purposes:
- Service providers and processors we use to operate our business:
- Hosting provider: Kinsta (web hosting infrastructure)
- Analytics: Google Analytics 4
- Site platform: WordPress
- Customer Relationship Management (CRM): UltraSmart (our internal CRM platform)
- Email + SMTP: WP Mail SMTP
- Form-to-CRM bridge: LeadConnector
- Legal and regulatory — we may disclose information when required by law, subpoena, court order, or to protect our legal rights, the safety of our clients, or the public.
- Business transactions — if we are involved in a merger, acquisition, or sale of assets, your information may be transferred. We will notify you before it becomes subject to a different Privacy Policy.
We do not sell, rent, or trade your personal information to third parties for their marketing purposes.
5. How long we keep your information
- Contact form submissions: typically retained for 3 years from last interaction
- Engagement records (executed contracts, project files, invoices): retained for 7 years after engagement end, to support warranty / portfolio / tax requirements
- Analytics data: Google Analytics default retention, currently 26 months
- Marketing communications: retained until you opt out
6. Cookies and tracking technologies
The Site uses cookies and similar technologies for the following purposes:
- Strictly necessary cookies — required for core site functionality (session state, security, form submission, consent state). Cannot be disabled.
- Analytics cookies — Google Analytics 4 cookies count visits and surface usage patterns. Blocked until you opt in via our consent banner.
- Functional cookies — preferences and accessibility settings, where applicable.

7. Your rights
Depending on your state or country of residence, you may have the following rights:
- Right to access — request a copy of the personal information we hold about you
- Right to correction — request that we correct inaccurate information
- Right to deletion — request that we delete your personal information, subject to exceptions (e.g., we must retain records for tax + engagement-history purposes)
- Right to opt out of sale — UltraWeb Labs does not sell personal information, but you may request written confirmation of this
- Right to non-discrimination — we will not discriminate against you for exercising these rights
These rights apply particularly to residents of California (CCPA / CPRA), Florida (Florida Digital Bill of Rights, where applicable), and other states with comprehensive privacy laws.

8. Children’s privacy
The Site is not directed to children under 13. We do not knowingly collect personal information from children under 13. If you believe we have collected information from a child under 13, please contact us and we will delete it.
9. Data security
We maintain reasonable administrative, technical, and physical safeguards to protect your information, including encrypted hosting (Kinsta with TLS), restricted CRM access, and secure credential management for client systems. However, no method of transmission over the internet or method of electronic storage is 100% secure, and we cannot guarantee absolute security.
10. International users
The Site is operated from the United States. If you access the Site from outside the United States, your information may be transferred to and processed in the United States, where data-protection laws may differ from those in your country.
11. Third-party links
The Site may contain links to third-party websites, including Google Maps, social media profiles, LinkedIn, and other services. We are not responsible for the privacy practices of those sites. We encourage you to review their privacy policies.
12. Changes to this Policy
We may update this Policy from time to time. If we make material changes, we will post the updated Policy with a new Effective Date at the top. Your continued use of the Site after changes take effect constitutes your acceptance of the revised Policy.
